Position Overview

The Business Manager will oversee all office operations and administrative functions while serving as a key liaison between management, field crews, customers, and vendors. This individual will play a critical role in maintaining efficient workflows, ensuring exceptional customer service, and supporting the company’s continued growth.

Key Responsibilities

• Manage daily office operations and administrative activities
• Utilize Aspire software for scheduling, job tracking, estimating, billing, reporting, and workflow management
• Coordinate communication between field crews, project managers, the General Manager, customers, and vendors
• Process invoicing and assist with accounts receivable and accounts payable functions
• Maintain accurate job costing, contracts, work orders, and project documentation
• Support payroll processing and employee onboarding activities
• Monitor office procedures and implement process improvements to increase efficiency
• Provide exceptional customer service and timely follow-up on customer inquiries
• Assist leadership with reporting, operational tracking, and business administration

Qualifications

Required

• Previous office management or business management experience within the landscaping, landscape construction, irrigation, or green industry
• Hands-on experience with Aspire software
• Strong organizational, administrative, and multitasking skills
• Excellent communication and customer service abilities
• Ability to work independently and effectively manage multiple priorities in a fast-paced environment

Preferred

• Spanish-speaking skills
• Experience with payroll, billing, and job costing functions

Key Responsibilities

• Tile & Grout Cleaning: Use high-grade equipment and solutions to restore tile and grout surfaces.

• Grout Color Sealing: Apply sealants for uniform finish and long-term protection.

• Minor Tile & Grout Repairs: Replace or fix cracked tiles and damaged grout lines.

• Surface Assessments: Evaluate and recommend appropriate restoration or maintenance plans.

• Client Interaction: Provide excellent customer service, answer questions, and ensure client satisfaction.

• Equipment Care: Maintain tools and equipment for safe and effective use.

 Background Needed:

• Prior experience in tile and grout cleaning, sealing, or repair
• Stone restoration experience is a plus!

• Oversee day-to-day operations of both Landscape Maintenance and Irrigation divisions 
• Manage scheduling, crew supervision, quality control, and customer satisfaction 
• Collaborate with leadership to ensure smooth project execution and client communication 
• Maintain high standards of safety, productivity, and professionalism on all job sites 
• Implement and uphold SOPs throughout both divisions 
• Coordinate with internal teams on proposals, estimates, and project planning

•  Minimum of 5 years’ experience in a relevant operations management role
•  Bilingual (Spanish)
•  Experience working with Business Management Software (Aspire s/w Preferred) 
•  Certified Landscape Technician (preferred) 
•  Licensed Irrigation Contractor (preferred) 
•  Certified in 3A (Ornamental) and / or 3B (Turf) (preferred)
•  Demonstrated experience scaling team – proven ability to strategically grow and lead a team from 15 to 30+ members while maintaining high performance, culture, and operational efficiency. 
• Experience working with organizations that emphasize SOPs and structured processes
